Admin Notifications and Alerts

XSYTE has a dual-channel notification system that keeps administrators informed through both in-app dashboard alerts and email notifications.
In-App Dashboard Notifications
When you log into the admin dashboard, you will see recent notifications displayed on the main page. These alerts cover important system events like:
- Games requiring official assignments
- New contact form submissions
- Order activity and store events
- System messages and updates
Dashboard notifications are stored for 7 days and show a friendly timestamp (e.g. "2 hours ago"). They appear automatically and do not require any configuration.
Email Notifications
In addition to dashboard alerts, XSYTE sends email notifications for important events. Email notifications are capability-aware, meaning they are only sent to admins who have the relevant permission. For example:
- Official scheduling alerts go only to admins with the Manage Officials capability
- Store-related alerts go to admins with Store Manager capability
Email Notification Types
The system supports many email types:
- Order Receipts: Sent to customers when orders are placed
- Post Game Reports: Sent after games are scored
- Game Invitations: Sent to game participants
- Official Invitations: Sent to assigned officials
- Team Assignment: Sent when players are assigned to teams
- Roster Management: Sent for roster changes
- Welcome Messages: Sent to new accounts
- Password Reset: Sent when password recovery is requested
- Saved Cart Reminders: Sent for abandoned carts
- Order Ready for Pickup: Sent when orders are ready to collect
Configuring Notification Preferences
Each administrator can have email notifications turned on or off:
- Go to Admin > Manage Administrators
- Edit the admin account
- Toggle Admin Notifications to on or off
- Click Save
When set to on, the admin receives email alerts for events relevant to their role capabilities. When off, they only see in-app dashboard notifications.
Note: In-app dashboard notifications appear regardless of the email notification setting. The toggle only affects email delivery.
Best Practices
- Enable email notifications for at least one Super Admin so critical alerts are never missed
- Scorers typically do not need email notifications since they only work on game day
- Managers handling store operations should have notifications on to catch order issues quickly
- Check the dashboard regularly even if you have email notifications enabled
