This guide walks you through setting up your first Pickup Division and running your first invite cycle.
Step 1 – Create a Pickup Division
Go to Admin → Divisions
Click Add Division
Set the Division Type to:
Pickup DivisionSave
Pickup Divisions enable invite-based player pools and reliability tracking tools.
Step 2 – Create a Season
Go to Admin → Seasons
Create a new Season inside your Pickup Division
Set your season dates
Save
Each Pickup Season will have its own Player Pool and statistics.
Step 3 – Create Pickup Games
Go to Admin → Games
Click Add Game
Select Game Type: Pickup
Set date, time, and location
Save
Pickup game type enables:
Invite-based attendance
Yes / No responses
Risk & Engagement tracking
No-show management
Step 4 – Create a Player Pool
Go to Admin → Pools
Click Create Pool
Select:
Target Type: Season
Target ID: Your Pickup Season
Save
This Pool will hold all players eligible for your Pickup invites.
Step 5 – Add Players to the Pool
Open your Pool
Click Add Pool Player
Add interested players
Set their initial status (Active recommended)
Players in this pool are eligible for invite waves.
Step 6 – Configure Pickup Rules
Pickup rules are configured at the Division level.
You can set:
Target number of players
Target number of goalies
Invite Algorithm
Late Cancellation Threshold
Cooldown Days
These rules determine how your invite waves operate.
Step 7 – Send Invites
Go to the Game Matchup page
Click Send Invites
Depending on your Invite Algorithm:
Blanket Attack sends invites broadly and quickly
Precision Mode sends invites in controlled waves based on reliability and engagement
Players will receive an email (and SMS if enabled) and can respond:
Yes
No
Remove
Responses update in real-time on the matchup page.
Step 8 – Monitor Responses
On the Matchup page you can see:
Yes responses
No responses
Risk Score
Engagement Score
No Response Streak
Last Invited / Last Response
You can also:
Mark No Shows
Unmark No Shows
Manage cooldowns
All stats are pool-specific.
Step 9 – Players Can Manage Their Status
Players can go to:
My Account → Player Pools
From there they can:
Set their status (Active, Paused, etc.)
Set Auto Yes or Auto No
View their pool stats
This reduces manual coordination and improves turnout reliability.
Typical Weekly Workflow
Create your Pickup game
Send invite wave
Monitor Yes responses
Send additional wave if needed
Mark No-Shows after the game
Let stats improve future invite decisions
